Background of the study
Examination scheduling in universities plays a critical role in academic administration, as it ensures that assessments are conducted in an organized and timely manner. However, at the Federal University of Technology, Minna, manual exam scheduling processes have led to issues such as scheduling conflicts, human errors, and inefficiencies (Adebayo & Salisu, 2023). The manual process requires significant time and resources to complete and is often subject to inaccuracies and delays, especially with the growing number of students and courses.

An automated exam scheduling system offers a potential solution by optimizing the scheduling process through the use of algorithms that can account for various constraints such as room availability, lecturer schedules, and student course registrations (Akinyemi & Bello, 2023). The design and implementation of such a system would streamline the exam scheduling process, reduce errors, and improve overall efficiency. This study focuses on developing and deploying an automated exam scheduling system for Federal University of Technology, Minna, to enhance the examination process and academic workflow.

Statement of the problem
Manual exam scheduling at the Federal University of Technology, Minna, has resulted in inefficient scheduling, conflicts, and errors. This study aims to design and implement an automated exam scheduling system to address these challenges and improve the scheduling process.

Objectives of the study

  1. To design an automated exam scheduling system for Federal University of Technology, Minna.

  2. To implement the automated exam scheduling system in the university and integrate it into the existing academic framework.

  3. To evaluate the effectiveness of the system in improving the accuracy and efficiency of the exam scheduling process.

Research questions

  1. How effective is the automated exam scheduling system in eliminating conflicts and errors in the scheduling process?

  2. What impact does the automated system have on the efficiency and time management of exam scheduling at the university?

  3. How do faculty, staff, and students perceive the usability and reliability of the automated exam scheduling system?

Significance of the study
The implementation of an automated exam scheduling system will enhance the efficiency of examination administration, reducing scheduling conflicts and errors. This will contribute to better academic management, streamlined workflows, and improved satisfaction among students and faculty.

Scope and limitations of the study
The study will focus on designing and implementing the automated exam scheduling system for Federal University of Technology, Minna. The study will assess the system's impact on scheduling efficiency but will not extend to other universities or educational institutions.

Definitions of terms

  • Automated exam scheduling system: A software system that automatically schedules exams based on pre-defined parameters such as course registrations, lecturer availability, and room assignments.

  • Scheduling conflicts: Situations where exams for different courses overlap or conflict with other university events.

  • Academic framework: The organizational structure and processes that govern the academic activities of a university.

  • Algorithm: A set of rules or steps designed to solve a specific problem or task, such as scheduling exams.
